Privacy Policy

This Privacy Policy explains how Mote Ventures LLC, doing business as IdaBook (“IdaBook,” “we,” “us,” or “our”), collects, uses, and shares information when you visit idabook.app, the IdaBook iOS or Android app, and our related services (the “Service”). IdaBook is a directory that helps people across Idaho discover and contact local event vendors. By using the Service, you agree to the practices described in this policy. Information we collect

Information you give us

  • Account information. If you create an account, our authentication provider collects your name and email address, and (if you choose those sign-in methods) your phone number, Google account identity, or Apple account identity.
  • Vendor profile information. If you list a business, we collect your business name, category, business phone, the city you are based in, service area, and optionally a business address and map visibility preference, contact email, website and social links, owner name, years in business, description, photos, profile video, pricing or package details, promotional offers, and your preferred customer contact method.
  • Request and contact activity. Many customers contact vendors through a preferred contact option on IdaBook (call, text, email, website, or social link). Those options take you to the vendor directly, and we do not receive your message or contact details through them. We may count when a contact option is used so vendors can see basic interest in their profile. When you submit an IdaBook-hosted request or quote form, we collect the information you submit, which may include your name, email, phone number, event date, event type, guest count, location, answers to vendor questions, and any message you write. We share that submission with the vendor you contacted. We do not independently verify the identity of people who submit requests beyond basic spam and abuse prevention.
  • Saved vendors. If you are signed in, we store the vendors you save to your favorites. Favorites are private to your account; vendors do not see who saved them.
  • Language choice. If you choose a language, the Service uses the current URL and browser cookie settings to show that locale while you browse. We do not use a signed-in account preference to automatically redirect return visits.
  • Marketing preferences. You may choose whether to receive non-essential email updates about new vendors and product news. Vendors may also choose whether IdaBook may feature their business in our marketing. We record your choice, the date you made it, and the consent text shown at the time.
  • Billing information. If you purchase a paid vendor product, our payment processor collects payment method and billing details. We receive limited billing metadata (such as subscription status and invoices) but do not store full payment card numbers.
  • Support messages. If you email us, we keep your message and contact details to respond.

Public business locations

The city a vendor is based in may appear on public listings and in search even when the vendor does not provide a street address. When a non-venue vendor adds a verified street address, the control shown with that field is on by default and explains that the location will appear as a pin on the public IdaBook map. The vendor can turn that control off before saving or later from profile settings. Venue addresses are public and appear on the map because the address identifies where customers attend events. Food trucks, drink carts, and other location-based features may use different map rules described in the Service.

Information collected automatically

  • Usage and analytics. We use product analytics to understand how the Service is used — for example, pages viewed, searches run, and which contact buttons are clicked. We configure analytics to mask sensitive form inputs and we do not capture the contents of request forms, email addresses, or phone numbers in our analytics events. Vendor profile fields that are meant for public listings, such as Instagram and Facebook links, may be captured to help us provide support and fix onboarding issues. We may also use session replay on a sample of visits to diagnose errors and improve the Service; replay is configured to mask sensitive form inputs.
  • Advertising pixels. We may use advertising and conversion pixels (such as Meta Pixel) to measure ad performance, understand how visitors find IdaBook, and improve our marketing. These tools may collect identifiers such as cookie IDs, device information, pages visited, and conversion events (for example, starting vendor signup). They may also help platforms show relevant ads. When a customer contacts a vendor, we may also send hashed contact identifiers such as an email address or phone number through a server-side conversion API to measure the advertising that led to that contact.
  • Vendor profile views. To give vendors basic view counts, we store a random visitor identifier in your browser’s local storage and record at most one view per vendor per day. This identifier is not tied to your name.
  • Device and log data. Like most websites, our hosting and infrastructure providers automatically receive technical data such as your IP address, browser type, and the pages you request.

Third-party content on profiles

Vendors with a Pro subscription may link a Google Business Profile so IdaBook can display their Google ratings and reviews. That content comes from Google, may include reviewer display names and review text, and is governed by Google's terms and policies, not ours. Profile videos are hosted by our video provider and may be processed for delivery and moderation.

Vendor calendar availability

A vendor may connect one Google Calendar so customers can see which dates that calendar has open. This connection is optional, separate from signing into IdaBook, and can be disconnected at any time from the vendor dashboard.

When a vendor connects a calendar, IdaBook requests read-only access to the list of calendars on that Google account and to the selected calendar’s free/busy times. IdaBook does not read, store, or display event titles, descriptions, guests, attachments, or locations. What we store is the vendor’s access credential in encrypted form, the name and time zone of the calendar they chose, and a list of dates derived from that calendar’s busy periods, covering up to eighteen months ahead. Only the derived dates are ever public, and only as “calendar shows open” or “unavailable”.

Availability shown on IdaBook is informational. It reflects what a vendor’s calendar showed the last time we checked it, it does not reserve a date, and it is not a commitment by the vendor. If we have not been able to check a calendar for a day, we stop showing its dates.

When a vendor disconnects, or their listing is deleted, we ask Google to revoke our access and we delete both the stored credential and the derived dates. A vendor can also revoke IdaBook’s access directly from their Google Account permissions page.

IdaBook’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

How we use information

  • Operate, maintain, secure, and improve the Service.
  • Connect customers with vendors, deliver request-form submissions to the relevant vendor, and provide vendors basic profile analytics such as views and inquiry activity.
  • Create and manage accounts, saved vendors, subscriptions, and billing.
  • Send service-related, billing-related, and (with your consent) marketing communications. With vendor marketing consent, we may feature vendor listings in IdaBook promotional materials.
  • Measure marketing effectiveness and run advertising, including through advertising pixels where enabled.
  • Detect, prevent, and address fraud, spam, abuse, and security issues.
  • Moderate listings, provide support, and maintain internal records needed to operate the business.
  • Comply with legal obligations and enforce our Terms.

How we share information

We do not sell your personal information for money. We share information only as described below:

  • With vendors. When you submit an IdaBook-hosted request form to a vendor, we share that request and your contact details with that vendor so they can respond. Direct contact through a vendor's preferred button does not share your details with us. Once shared, the vendor's own use of your information is governed by their practices, not this policy. Vendors are responsible for handling that information lawfully.
  • Service providers. We use trusted third parties to run the Service, including authentication, database and file hosting, website hosting, product analytics, error monitoring, advertising measurement, maps, email delivery, video hosting, and payment processing. These providers process information on our behalf and only as needed to provide their service.
  • Advertising partners. Advertising tools such as Meta may receive event and device data through pixels or similar technologies so we can measure campaigns and, where permitted, show relevant ads. Those partners process data under their own policies.
  • Authorized staff and contractors. Our team may access information as needed to provide support, operate the Service, moderate listings, prevent abuse, run outreach related to the directory, and maintain security.
  • Legal and safety. We may disclose information if required by law or to protect the rights, property, or safety of IdaBook, our users, or others.
  • Business transfers. If IdaBook is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.

Service providers we rely on

We use the following categories of third-party providers, each with their own privacy policies: Clerk (authentication), Convex (database and file storage), Vercel (website hosting), PostHog (product analytics and session replay), Sentry (error monitoring and session replay), Resend (email delivery), Stripe (payment processing for vendors), Google Places (address search and linked business reviews), Google Calendar (vendor availability, when a vendor connects it), Mapbox (public maps), and Mux (profile video hosting). The website may also use Meta / Facebook for advertising and conversion measurement. The IdaBook iOS app does not use advertising identifiers or App Tracking Transparency to track you across other companies' apps and websites. The specific providers in use may change over time as we improve the Service.

Cookies and tracking

We and our providers use cookies, local storage, pixels, and similar technologies on the website to keep you signed in, remember preferences, measure usage, diagnose issues, and support advertising and conversion measurement. Session replay tools may record how you interact with pages on a sample of visits to help us fix problems and improve the experience; sensitive form inputs are masked in replay where we configure it. The IdaBook app stores a signed-in session on device and may send product analytics and crash reports. It does not use cookies or advertising pixels for cross-app tracking. You can control website cookies through your browser settings, and you may also use platform-specific ad preference tools for the website (for example, Meta's ad settings). Some website features may not work properly without certain cookies.

Your choices and rights

  • Access and deletion. You may request a copy of the personal information we hold about you, or ask us to delete it. Signed-in users can delete their account from Profile or More in the IdaBook app. That request removes the Clerk account, saved vendors, push tokens, and any business listings you own, usually immediately. Vendors can also hide or delete a listing without deleting the account. You may email us at support@idabook.app if you cannot use the in-app control. Deleting a profile or account may not remove information already shared with a vendor through a request form, or copies retained for legal, security, or billing records. We complete email deletion requests within 30 days.
  • Account information. You can update your account details through your account settings, and you can remove saved vendors at any time.
  • Communications. You can opt out of non-essential emails using the unsubscribe link or by contacting us. We may still send you essential service or billing messages.
  • Marketing featuring. Vendors who opted in to marketing featuring can withdraw that permission by updating preferences in their dashboard or contacting us. Withdrawal does not require us to recall materials already published.
  • Map visibility. Vendors can turn off the public map pin for an optional business address from their profile settings. Turning off the pin does not remove the home base city from the public listing. Venue addresses remain public while the listing is published.
  • Additional rights. Depending on where you live, you may have rights to correct information, restrict certain processing, appeal a denial, or opt out of targeted advertising or certain “sharing” of personal information for cross-context behavioral advertising. Data retention and security

We keep personal information for as long as needed to provide the Service and for legitimate business or legal purposes (including billing, dispute resolution, security, and legal compliance), then delete or anonymize it. Request-form submissions we deliver to vendors are retained as part of the vendor's lead history until the vendor deletes the listing or we delete the data under our retention practices. We use reasonable administrative, technical, and organizational measures to protect information, and we do not store authentication secrets or payment card numbers ourselves — those are handled by our authentication and payment providers. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Where information is processed

We and our service providers may process information in the United States and other countries where those providers operate. If you access the Service from outside the United States, you understand that your information may be transferred to and processed in the United States, which may have different data-protection rules than your country.

Children’s privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, please contact us so we can remove it.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. If we make material changes, we will take reasonable steps to notify you (for example by email or a notice on the Service).
